Application & Lottery Standalone Product: Setting Up Users
Adding users to the App & Lottery product (not for Full-SIS users).
Table of Contents:
Adding Permissions/Security Groups
Inviting New Users/Sending Password Resets
Creating New Users:
Navigation: From the App & Lottery home page > Manage Users
Click "Create New Staff"
Fill out all required fields (identified with the red asterisk)
Include a Work Email - this will be their login/username going forward
Click "Next Page"
Click "Save" (No action needed on the District Info tab)
Your user will now display on the next page in Red
Red is ok here! While we typically associate the color red with an indicator that something is wrong/incorrect, in this case you can simply ignore the red color.
Granting User Permissions:
Navigation: From the home menu > Manage Logins
Use the "Search" on the right to filter by your staff name
Click "Set Groups"
There are three Security Groups for App & Lottery
- App & Lottery Standalone - Main Admin
- All of the setup and lottery process permissions. These would be users who manage the setup process, configure the lottery, adjust settings across the system
- App & Lottery Standalone - Security Admin
- Can add users and apply Security groups to users
- App & Lottery Standalone - User
- Can manage the lottery process (run a lottery, select applicants), but cannot setup/configure the settings in the system
Use the checkboxes to select which group(s) you want your new staff member to have and click "Save Changes"
When granting permissions to users who have already accessed the system and who are logged in, they will have to log out and log back in to pick up the newly associated permissions/groups
Inviting Users to the System
Once you have created a new user and associated them with security groups/permissions, you can invite them to access the system. This will give them their username and prompt them to create their own unique password.
Navigation: Home screen > Manage Logins
Click on the Login Name of the user you want to invite
Click the link for "Send Password Reset Email to...."
This will send an email to the staff's work email address. The staff member will click the link
They will be prompted to create a unique password, save, and will be directly logged into the system
