CBEDS (California Basic Educational Data System) Overview
The California Basic Educational Data System (CBEDS) is used for collecting student and staff demographic data, as well as information related to school programs. This guide outlines the steps to accurately manage CBEDS reporting.

Understanding CBEDS Data Collection
- CBEDS is a data collection system that gathers:
- Student enrollment and demographics
- Staff assignments and demographics
- Educational program data
- Why it Matters: CBEDS data is used by the California Department of Education (CDE) to evaluate school performance, funding, and program compliance.
Accessing CBEDS Reports in School Pathways
- Navigate to Reports > State/Federal > CBEDS-ORA
- Once on the CBEDS-ORA page, you can select the type of report to generate:
- CDIF (Current/Deferred Enrollment Information File)
- SIF (Student Information File) for either the prior year or the current year
Preparing Data for CBEDS Submission
- Ensure data accuracy by reviewing:
- Student Enrollment Records: Confirm all student demographics are correctly entered in the system
- Staff Records: Ensure all staff assignments, job classifications, and credentials are up-to-date
- Program Participation: Verify student participation in various programs (e.g., Title I, English Learners)
- Tips for Data Preparation:
- Double-check for duplicate records
- Confirm all required fields are completed
Generating CBEDS Reports: CDIF and SIF
- Navigate to Reports > State/Federal > CBEDS-ORA
- Select the desired report:
- CDIF (Current or Deferred Enrollment Information File)
- SIF (Student Information File) for the selected year (prior or current)
- Click Generate to create the report
- The report results will be displayed on the screen
- You will have two options at the top:
- Printable Version to generate a print-friendly report
- Export for ORA to export the data for further use in the ORA (Online Reporting Application)
- Note: Reports may take a few minutes to generate based on data volume
Validating and Reviewing Compliance Pages
- Review the Current Year CDIF Compliance Page and SIF Compliance Page to identify potential data errors
- Click on a compliance page to access a detailed error screen
- Errors will be displayed for you to correct as needed
- To rectify any discrepancies, please click on the error links highlighted in red, which will direct you to the appropriate screen for making necessary adjustments.

Submitting CBEDS Data
- Review the Report:
- Double-check all data for accuracy
- Correct any errors identified on the compliance pages
- Validate Data:
- Use available validation tools to ensure data is complete and correct
- Submission:
- Prepare the final data file for submission to the California Department of Education (CDE)
- Export the data file in the required format
- Important Considerations:
- Ensure compliance with all CDE guidelines
- Retain copies of submitted data for your records
