Collector Tool: IS Staff Associations- Troubleshooting/Problem Solving

This guide will help you navigate through the system to manage student assignments using the collector tool, including reassigning students to a new teacher.

Navigate to the "Show Student List" Section

  • Use the search bar under Teacher of Record to find the teacher whose students you want to view.
  • Verify that you have selected the appropriate school year and check if the students are currently enrolled.

  • In the search results, you will see a list of students under the selected teacher.
  • On the left-hand side, use the "Select All" checkbox or select individual students that will be moved to another teacher's roster.
  • Scroll to the bottom of the page and click the “Collect Selected” button

Navigate to IS Teacher Assignment Section

  • Select one of the students from the list to open their profile. Click on their name or select the Assign teacher icon:

  • At the bottom of the IS teacher assignment section, click the “Collector” button.collector button

Choose Collection Action

  • You will see a list of available collection actions:
    • Create New Staff Assignment
    • Edit Most Recent Staff Assignment
    • Delete the Most Recent Assignment
  • Select option two, Edit most recent staff assignment.

Edit Most Recent Staff Assignment Records

  • This will open the "Edit Most Recent Staff Assignment Records for Collection of Students."
  • Only edit the sections you want to update for the collected students.
  • If you are moving all students to another teacher (e.g., if a teacher is leaving), enter a finish date and ensure that you select the “End PLS classes, too” checkbox.

  • Click "Preview" to see a preview of the changed assignments.
  • If everything looks correct, click "Confirm" at the top and then click “Set.”

Assign the New Staff Member

  • Return to the collector options and select Create new staff assignment.
  • Select the new teacher's staff ID by searching their name.
  • Enter a start date for the new assignment.
  • Select the “Start untaught PLS classes” checkbox to ensure the new classes are listed with the new teacher.

  • Click "Set."
  • Review the changes and if everything looks correct, click "Confirm" at the top and then click “Set.”
