Credential Emails: Nightly Credential Reminder

Automatically notify staff of upcoming credential expirations at 30, 60, and 90-day intervals using the new Nightly Credential Reminder policy.

Overview

A new School Policy option allows administrators to automate credential expiration notifications. When enabled, the Nightly Credential Reminder policy will send out emails to staff based on their credential expiration date, using 30, 60, and 90-day triggers.
This automation helps schools maintain compliance and ensure staff are reminded in advance of any upcoming expirations.

Enabling the Policy

  1. Navigate to:
    Admin > Settings > Policies > Staff Credentials

  2. Locate the setting titled:
    "Nightly Credential Reminder"

  3. Determine if daily reminders should be sent to staff who are 30, 60, or 90 days away from credential renewal.

  4. Click Save Settings to confirm the change.

  • Once enabled, the system will perform a nightly check to evaluate staff credential expiration dates and send out any matching Trigger Emails.

Required Trigger Email Setup

To ensure the system can send the emails correctly, you must set up and enable the corresponding Trigger Emails:
  1. Go to:
    Admin > Settings > Trigger Emails > Staff

  2. Create or verify the following Trigger Emails:

    • Credential Expiration Reminder - 30 Days

    • Credential Expiration Reminder - 60 Days

    • Credential Expiration Reminder - 90 Days

  3. Ensure each email includes:

    • Below is a sample template for a 30-day email reminder:

    • The email is Enabled

  • The system will conduct a nightly review and, if enabled, automatically send the appropriate Trigger Email to teachers.
