Identifying Duplicate Records
- When viewing student data in Admin > Public Registration > Admin Page > Show All, a new status indicator will appear next to records that match the first name, last name, and birthdate criteria across separate households.
- Clicking this indicator will direct you to a detailed page outlining potential duplicates and options for resolution.
Navigating to Duplicate Detection
- Go to Admin > Public Registration > Admin Page > Show All.
- Look for the status indicator next to student records that may be duplicates.
Resolving Duplicate Records
Upon clicking the status indicator, you will be presented with options to manage the potential duplication:
-
Unlinking Students:
If the duplicate was created by mistake, you can unlink the students, ensuring each entry remains unique within their respective households. -
Merging Households:
If the duplication is genuine and the students belong to the same household, you can merge the households. This action consolidates their records, reducing redundant entries. -
Removing the Indicator:
In cases where you have verified the entries are not duplicates, you may opt to remove the indicator, acknowledging the records as valid without further action.
Best Practices and Considerations
- Always verify the authenticity of records before taking corrective action.
- Communicate with relevant families if merging households to ensure accurate recordkeeping.
- Keep records up-to-date to prevent reoccurrences of duplicate indicators.
FAQs
Q: Can I undo a merge if it was done incorrectly?
A: Merges are permanent and should be performed carefully. Contact support for assistance if needed.
Q: What happens if I unlink students?
A: Unlinking separates their records, maintaining unique entries in the system.
