Introduction to Multi-Language Trigger Emails
Trigger emails are automated messages sent based on specific actions. With the new system update, you can now send these emails in the preferred language of the recipient.
Note: Make sure to always include the English version of the email along with any other languages. If you select a language other than English, the system will automatically send the English version if you haven't updated your trigger emails for that specific language.
Updating Preferred Language in the System
-
A new policy regarding communications has been implemented. Navigate to the system settings where you can manage the preferences.
- Choose the preferred language settings for Parents, Students, Staff, or Reg-Online. Customize the language preference for each category as needed.
Adding Languages to Trigger Emails
- If the language you prefer is not listed in the policy setup, you have the option to add it to the trigger email settings. Simply go to the trigger emails section:
- In the trigger emails section, you will have the option to add a language or customize any other email triggers in the languages you have enabled. If you choose a language other than English without updating your trigger templates, the email trigger will default to English. Simply select the new language you wish to include:
- After selecting and adding a new language, click on "show all" at the top right corner to view all the empty trigger emails below for you to adjust accordingly.
- Continue by adjusting all templates. Click on the edit button and update them to match the selected language displayed at the top. Remember, each triggered email in all sections will require manual updates.
Modifying Parent/Guardian Preferred Language Communications
- Schools now offer the flexibility to personalize preferred language settings for each family member individually within the student registration section. To adjust settings, navigate to the student registration area and modify the language communication preferences as displayed below:
- After making these updates, remember to click on the save button. This action will ensure that communications are sent based on the preferred language settings.
