Interdistrict Transfers: REG Online Record Transfer Restrictions

REG Online Transfers: Background

During an interdistrict transfer, schools have the option to transfer associated REG Online records (including household data, parent information, and uploaded documents). Previously, this feature lacked validation, allowing multiple REG Online record transfers regardless of whether the household already existed in the receiving scope.


What Has Changed

The system has been updated to prevent duplicate REG Online transfers:

If a household already exists in the receiving school (based on email match), the REG Online transfer buttons will be automatically disabled.

This change ensures:

  • Fewer duplicate records
  • Reduced user error
  • Clearer UI behavior

Understanding the Update

When attempting to transfer a student via:
Admin > Student Info > Interdistrict Transfer

  • The system now checks if a household with the same email address already exists.
  • If it does, the REG Online record transfer option will be disabled.
  • Users will no longer be able to accidentally resend or reprocess REG Online documents tied to that household.
  • This eliminates errors such as:
    • “This household already exists and cannot be recreated.”


Guidance for Schools

  • If you are unable to transfer REG Online records due to the household already existing:
  • Do not delete the household in the receiving school. This could disrupt other students linked to it.
  • Proceed with the student transfer only. The REG Online section will remain disabled.
  • Log into the receiving school and verify whether the student already exists in the household.
  • Do not attempt to resend REG Online records by bypassing or modifying the existing household.
