Application & Lottery : Setup Process & Policies

Application & Lottery is a paid addition to our current Enrollment Interest Forms and REG-Online features. This module will allow schools to run a lottery to submit a limited number of applicants from their pool, using customizable rules.

Define Users

Staff who will be working with App & Lottery also will need the "Lottery Administrator" Permission Group added to their profile

Navigation: Admin > Settings > Security > Security > Groups

Group titled "Lottery Administrator"

Click "Members" link

Use the checkboxes on the right to select those who should have full access to the Enrollment Interest form and Lottery Configuration.

Click Save

School Policies

Navigation: Admin > Settings > Policies

Student Registration

Omit Enrollment Interest Signature- set to Yes if you do NOT want parents to sign the form
Require Enrollment Interest Form- set to Yes if you only want REG Online appliants who came from an Approved enrollment interest form
Ask and Require "Learning Center" on the Enrollment Interest Form- set to Yes if you want families to choose a specific Learning Center from your available list
Allow for Sibling and Staff Studen Identification in Enrollment Interest Form- Setting the "Siblings" or "Staff Children" enables two questions to appear on the form to collect that information

Application and Lottery

Program Title- If your school has different lottery requirements based on things like sites, programs, learning centers, gradelevels, etc, programs are a great way to go! This policy let's you rename the "Programs" to whatever best fits your school
What email address do you want Application & Lottery communications to be sent from?- this policy allows the school to customize the reply-to email so it is easier for families to fine and less likely to end up in spam/clutter
Lottery Non-Winner Application Status- by default, you can set the Non-Winner application status. If choosing "Rejected" here, but in the Lottery settings the Waitlist option is checked, the waitlist will take priority.

Page Policies

Navigation: Options Cogwheel > Page Policies

admin/reports/enrollment_interest_report.php
- Allow Gradelevel Override- setting to Yes will enable the submitted gradelevel for a student to be overwritten on the Enrollment Interest Review. Helpful if the parent submitted the wrong gradelevel and you don't want them to re-do the application
public/registration/enrollment_interest.php
- Available Gradelevels- select the gradelevels you want to appear in the gradelevel dropdown on the Enrollment Interest form. This prevents parents from choosing gradelevels outside of what you offer for your school/program
- Available School Years- Select the available school years for your parents to choose from. Limiting this helps prevent parents from choosing the wrong one.

Available School Years relies upon your calendar settings. If you do not see the school year you are needing, ensure that you have enabled it under Admin>Settings>School Calendars>Lookup/Manage School Years
