Work-Based Learning Information in School Pathways

This guide provides instructions for entering Work-Based Learning (WBL) data in School Pathways to align with California Department of Education (CDE) and CALPADS reporting requirements.

Accessing the Work-Based Learning Section

  • Navigate to the student’s Transcript section in School Pathways.
  • Select the Work-Based Learning tab to open the WBL entry screen.


Adding a New Work-Based Learning Entry

  • Click Add Entry to begin entering new data.

  • Complete the following fields based on the Work-Based Learning Type:

    • Work-Based Learning Type
      Choose the appropriate type of WBL activity from the drop-down menu (refer to CALPADS Code Sets v13.2 for details).

    • WB Learning Hours External
      Enter the total hours completed by the student during the reporting academic year (for applicable Work-Based Learning Types).

    • State Course Code - Embedded Work-Based Learning
      Provide the state course code if the WBL activity involves embedded work-based learning (for applicable Work-Based Learning Types).

Details for Internship Entries

If the selected Work-Based Learning Type is Internship, complete the additional fields below:

  • Internship ID
    Enter a unique identifier for the internship (maximum 36 characters).

  • WB Learning Hours External
    Add the total hours completed by the student during the reporting academic year.

  • Internship Employer Performance Evaluation Code
    Provide the performance evaluation code, as required.

  • Internship - LEA Sponsored Indicator
    Indicate if the internship was sponsored by the Local Educational Agency (LEA) by selecting Yes or No.

  • Internship Certified Supervised Indicator
    Indicate whether the internship was certified and supervised by selecting Yes or No.

  • Click Save to finalize the entry.

Understanding Work-Based Learning Program Codes

LEAs are required to report 11 Work-Based Learning programs/activities to CALPADS via the WBLR file. These activities are submitted as Work-Based Learning Type codes and described in Table 1 from CALPADS Code Sets v13.2.

  • Codes 10–20: Report hours completed during the academic year (e.g., hours from an internship spanning multiple years should be reported annually).
  • Codes 25–65: Report the program/activity only in the year the program or activity was completed.
