Mass Updating of Date First Enrolled in the U.S.

The date First Enrolled in the U.S. is a required field for students born outside of U.S. and English Learners.

Validation: If Student Initial US School Enrollment Date K-12 is populated, then student age as of that date must be at least 3 years, 10 months.

To Mass Update the data in SP from CALPADs Using the SSID Extract 

Note: The extract will pull data from the most recent demographic line in CALPADS. 

Step 1: Access SSID Extract Request in CALPADS, use Date Range by Enrollment Date.

Step 2: Enter a wide date range to capture the largest number of enrolled students

Step 3: Request the File

Step 4: Download the File from CALPADS

Step 5: In School Pathways Go under Reports>State/Federal>CALPADS>SSID Enrollment

Step 6: Click on the link “Click here to load an SSID Request Extract from CALPADS”

Step 7: Load the SSID Request file from CALPADS to the “Old File” upload link’

Step 8: Click Load File

The system will display data from CALPADS on the Left Side of the page and the data from School Pathways on the right side. The column headers are sortable. 


Step 9: Click on the Date First Enrolled Column under the CALPADS side of the table. Records that exist in CALPADS with a date will be filtered to the top. 

Note: Always review data for accuracy before importing or overriding the records in School Pathways.

Step 10: If the School Pathways record on the left does not include the Date First Enrolled, check the box next to the student’s name on the left side of the page. 

Step 11: At the bottom right side of the page, click the check box to “Update Enrolled in US Date from SSID Request”

Step 12: Click Update selected records button
